About this policy
This policy explains how Synchronyx, LLC ("Synchronyx," "we," "us") handles information when you use Tappt® Health or Tappt® to support your care, whether as a patient, a health plan member, or a research participant. It also covers people invited to receive updates as a trusted contact. It covers every way you may use Tappt®:
The Tappt® mobile app
The Tappt® web app, used in a browser
Program links sent to you by text or email, including Linkt™ programs, such as discharge programs and care journeys
Tappt® smart labels
Programs differ. Some help you keep track of your medications. Others focus on check-ins and support after a hospital stay or during a course of care, without involving medications at all. The sections below apply to the parts of Tappt® your program uses.
It does not cover our website or healthcare staff who use Tappt® for work. Those are covered by our website privacy policy.
Tappt® helps you stay on track with your care plan.
Important: always follow your doctor's instructions.
Tappt® does not replace medical advice. Always follow the instructions from your doctor, pharmacist, and care team.
Your care plan in Tappt® is entered by your care team. It may not always be up to date or complete, for example if your medication or dose changed recently.
If anything in Tappt® is different from what your doctor told you or from your prescription label, follow your doctor's instructions. Then let your care team know by opening your care plan and tapping "Request a change" in the mobile app or "Report something wrong" in the web app.
Do not start, stop, or change a medication based only on Tappt. Talk with your doctor or pharmacist first.
Tappt® is not an emergency service. If you have an urgent health concern, call your care team or 911.
When you create a Tappt® account or sign in to a program link for the first time, you accept our Terms of Service and confirm that you have read this policy. Please read it carefully before you continue.
Who you are, and which rules apply
If you joined through a care program. Most people use Tappt because their health system, clinic, pharmacy, or health plan care management team invited them. In that case, we provide Tappt on behalf of that organization under a written agreement called a Business Associate Agreement. That agreement and federal health privacy law (HIPAA) limit how we can use and share your health information. The organization that invited you controls your health records. Its Notice of Privacy Practices explains your rights over those records.
If you have an account but have not joined a program. You can download Tappt and create an account before you are invited to a program. Until you join, we hold only your account information and basic app information. See "Accounts not yet in a program" below.
If you use a program link. Some programs, including Linkt™ programs, do not require an app or account. Your care team sends you a secure link by text or email, for example after you leave the hospital. You use the link to answer surveys, receive information, or exchange messages with your care team. These programs are run on behalf of the organization that invited you, and the program rules in this policy apply.
If someone invited you as a trusted contact. In programs that offer this feature, a Tappt user may invite a family member, friend, or caregiver to receive text updates about their medication activity. See "Trusted contacts" below.
If you take part in a research study. Some programs are part of a research study. The study's consent form also applies to you and explains how study information is handled.
What we collect
Account information. Your phone number and sign-in details, which are required to use Tappt. Your program may also collect your name and email address.
Information from your care team or program. If your program includes medications, your care team sets up your care plan in Tappt. Your care plan includes the condition you are being treated for, your medications, and your dosing schedule, along with your pharmacy if it is part of your program. You can change the times you take your medications, but not the medications or doses.
Your care team or program may also add or ask for other information, such as your year of birth, preferred language, or demographic details like sex, race, or ethnicity. When Tappt asks you for this kind of information, sharing it is your choice.
Information about your trusted contacts. If you invite a trusted contact, we collect their name, phone number, and a record of their consent to receive texts.
Information from using Tappt:
When you tap a Tappt label or record a dose in the app, and whether a dose was taken on time, late, or missed
Your answers to check-ins and surveys
Messages you exchange with your care team or program administrator, including the time they were sent and read
Your reminder and notification settings
A record of actions in your account, such as sign-ins, taps, and survey completions. We keep this record to protect the accuracy and security of your information.
Device, browser, and app information. Device type, operating system, browser type, app version, a notification token so we can send you reminders, and error reports that help us fix problems. When you use the web app or a program link, we also use cookies or similar technology to keep you signed in and keep your session secure.
Check-ins and surveys
Your program may send you check-ins and surveys. Your program chooses the questions, not Synchronyx. Questions may ask about:
Your background, such as age, language, race, or ethnicity
Your health, symptoms, and how you are feeling
Everyday needs that affect your care, such as housing, food, transportation, or the cost of medications
Your experience with your treatment
Reasons you may have missed a dose
Your answers go to your program. You do not have to answer any question.
In most programs, a care team reviews your answers and may follow up to support you. In some programs, answers are collected for research only, and no care team reviews them or reaches out.
Tappt is not monitored around the clock. Even when a care team reviews your answers, they may not see them right away, and in research-only programs no one is watching for them. Never use check-ins to report an urgent problem. If you have an urgent health concern, call your care team or 911. If you are in crisis or thinking about harming yourself, call or text 988.
Messages with your care team
Some programs let you send and receive messages through Tappt. Messages go to your care team or program administrator. Your messages become part of your program's records, and your care team may copy them into your medical record.
Do not use messages for emergencies. Messages are not monitored around the clock and may not be read right away. If you need urgent help, call your care team or 911. If you are in crisis, call or text 988.
Trusted contacts
If your program offers this feature, you can invite a family member, friend, or caregiver in the Tappt web app to be your trusted contact. Your trusted contact must agree before they receive anything.
Once they agree, your trusted contact receives text messages with basic updates, such as a missed dose or how many doses you logged that day. These texts may include the name of a medication, which can suggest a health condition. They do not include your health conditions directly.
Text messages are not encrypted. Anyone who can see your trusted contact's phone may be able to read these updates. Only invite someone you trust with this information.
You can remove a trusted contact at any time in the web app, and they stop receiving updates. Your trusted contact can also stop receiving updates at any time by replying STOP. A trusted contact cannot see your care plan, survey answers, or messages, and cannot sign in to your account.
Research studies
If a study invites you to take part, you will receive a separate consent form before any study information is collected. It explains the purpose of the study, what you will be asked to do, the risks and benefits, who will see your information, how long it will be kept, and how to stop taking part.
Taking part is your choice. Saying no will not affect your care or your use of Tappt. We will not use information that identifies you for a research study unless you agree to it, or unless an ethics review board has approved its use as the law allows. Research using de-identified information is described below.
Consent for a research study may be given in Tappt or handled directly by the research team, such as at your clinic. Agreeing to this policy or to our Terms of Service does not mean you agree to join a research study. Study consent is always separate.
How we use information
We use your information to:
Send you reminders and missed-dose alerts, by push notification in the mobile app or by text message in the web app
Share your medication activity and survey answers with your care team
Alert your care team when your program is set up to do so, for example after several missed doses or a survey answer that needs follow-up
Run research studies you have agreed to join
Provide support and respond to your questions
Keep Tappt secure, accurate, and working properly
Improve Tappt, as our agreements with the organization that invited you allow
We do not sell your information. We do not use your health information for advertising or marketing.
Who we share information with
Your care team and the organization that invited you, such as your health system, clinic, pharmacy, or health plan care management team. This is the main purpose of Tappt. Your care team may also copy Tappt reports or data into your medical record.
Your trusted contacts, only the basic updates described under "Trusted contacts," and only after you invite them and they agree.
A research team, only if you agreed to join their study, as described in the consent form.
Service providers that help us run Tappt. Tappt is hosted on Google Cloud, which has signed a Business Associate Agreement with us. Every service provider that handles health information must sign an agreement that protects it and limits how it can be used.
When the law requires it, such as a valid court order, or to protect someone's safety as the law allows.
If our company changes ownership, information may transfer to the new owner. It stays protected by this policy and by our agreements with the organization that invited you.
We do not share information that identifies you with drug manufacturers, advertisers, or data brokers.
De-identified information
We may remove information that identifies you, following HIPAA's de-identification standards. We may use the result to study and improve medication adherence and care, to support research, and in scientific publications and presentations. Results are reported in a way that does not identify any person. We do this only when our agreement with the organization that invited you permits it. Anyone who receives de-identified data from us must agree not to try to identify the people in it.
To de-identify information, we remove details that directly identify you, such as your name, phone number, and email address. We also remove or generalize other details, such as exact dates, when needed so the information cannot reasonably be linked back to you.
Analytics, cookies, and similar technology
We use cookies and similar technology in the web app and program links only to keep you signed in, keep your session secure, and make Tappt work.
Tappt does not use advertising trackers or social media pixels. We use Google Cloud services to monitor performance and to find and fix errors. These services run within our Google Cloud environment, which is covered by our Business Associate Agreement with Google.
Text messages and calls
When you create an account or join a program, you agree to receive text messages about your care, such as reminders, alerts, survey links, and program links. Your care team may also call you about your Tappt activity. Message frequency varies by program. Message and data rates may apply.
Some programs require reminders. If your program allows it, you can turn reminders off in the app under Profile > Notifications. Replying STOP to any text stops all texts from Tappt, including program links and sign-in codes, so you may not be able to sign in to a program link until you opt back in. If you disconnect from your care team, you stop receiving all text messages from that program.
Texts and emails we send to you do not include health information. They contain only a link to a secure page. Texts to trusted contacts are different and are described under "Trusted contacts." To open it, you sign in with the phone number your care team has on file and a one-time code sent to that number. Links expire after a period of time set by your program, and your care team can turn off a link at any time.
If your phone number changes, or if other people use your phone, tell your care team so they can update your contact information or turn off your link.
Accounts not yet in a program
If you have created an account but have not joined a program, we collect only your account information and basic app and device information. You cannot add medications or care plans until a care team invites you.
This information is not shared with any care team or program. We use it only to run your account, provide support, and keep Tappt secure.
When you enter an access code or accept an invitation, you join that program. From then on, your Tappt activity is shared with that program, and the program sections of this policy apply to you.
You can delete your account at any time in the app. To ask for a copy of your account information or to correct it, contact us at the email address below. We respond within 45 days.
Your choices
Change when you take your medications in your care plan under Schedule. Your reminders follow the new times.
Turn off reminders in the app under Profile > Notifications, if your program allows it. You can also reply STOP to stop all texts from Tappt.
Add or remove a trusted contact in the web app at any time, if your program offers this feature.
Skip survey questions you prefer not to answer.
Stop taking part in a research study by following the steps in your consent form or contacting the research team for your study.
Disconnect from your care team by asking your care team or contacting us through the app. Your care team will remove you from their Tappt account. After that, they no longer manage your care plan in Tappt or receive your information, and you and your trusted contacts no longer receive reminders or notifications from their program. You keep your Tappt account. Information already shared stays with the program, as described under "How long we keep information."
Delete your Tappt account completely in the mobile app or web app under Profile > Account & privacy > Delete account, or ask us to delete it. What happens next depends on your situation. See "How long we keep information."
Stop receiving program links by replying STOP, contacting your care team, or contacting us. If you used a program link without an account, there is no account to delete. Contact us or your care team with any request about your information.
Report something wrong in your care plan by opening your care plan and tapping "Request a change" in the mobile app or "Report something wrong" in the web app. Describe what looks wrong, and your care team will be alerted so they can correct it or contact you.
How long we keep information
If you have not joined a program and you delete your account, we delete your account information within 45 days. Copies in encrypted backups are removed as backups expire, within 6 months.
If you are in a program, including a program you use through a link, and you disconnect from your care team, we stop collecting new information for that program right away, and you keep your Tappt account. If you delete your account, we also close your account. In both cases, information already collected is part of your program's records. We keep it on behalf of the organization that invited you, protected under our agreement with them, until that organization or your program administrator tells us to delete or return it, or until our agreement ends.
If you are in a research study, information collected for the study is kept for as long as the study rules and the law require, as described in your consent form. Deleting your account does not remove information already collected for the study.
When a program ends, we return or securely destroy program information as our agreement with that organization requires. If the law requires us to keep certain records, we continue to protect them and use them only for that purpose.
When you remove a trusted contact, or they opt out, we stop sending them updates and delete their contact information within 45 days. We keep a record of their consent and opt-out.
We also keep limited records we are required to keep, such as records of your consent and of privacy requests, and information that has been de-identified.
How we protect information
We use administrative, technical, and physical safeguards required by HIPAA. These include encryption of data in storage and in transit, role-based access, and multi-factor authentication for staff who access systems holding health information. We also keep activity logs and do an independent HIPAA security risk assessment each year.
Your information is stored on Google Cloud in multiple regions within the United States.
No system is completely secure. If a security incident affects your information:
If you are in a program, we notify the organization that invited you, and you are notified as the law requires.
If you have not joined a program, we notify you as the law requires.
Children
Tappt is intended for adults. A parent or guardian may use Tappt for a minor only when the minor's care program allows it.
Links to other websites
Your program may share links to educational materials or other websites. Those sites are not run by Synchronyx, and this policy does not apply to them.
Changes to this policy
We will post updates here with a new date. If a change affects how we use or share your health information, we will tell you in the app or on your program link page before it takes effect. We will ask for your permission first if we plan to use your information in a materially different way.
